The Hirer agrees to have read, understood & accepted the Terms & Conditions displayed at the time of making a booking along with the booking form.

‘You’ or ‘your’ refers to the person named on the booking form.

‘We’ or ‘our’ refers to Surrey Enchanted Teepees.

1. Booking Information

1.1  Provisional Bookings will be held for a period of 48 hours before the deposit is due.  If the deposit is not paid in that time, the date will be made available again.

1.2  We require a non-refundable deposit of £50 to secure your booking.

1.3  Once in receipt of the deposit, the Hirer will receive confirmation of the booking.

1.4  The deposit will be deducted from the cost of the hire and the remaining balance will be due at least 14 days prior to the event.  If the balance is not paid in full before 14 days of the event we reserve the right to cancel your booking and no refund of deposit will be given.

1.5  The Hire fee is for one night only.  Extra nights can be arranged with prior arrangement.

1.6  Delivery, set up & collection is free within 15 miles of GU4, Guildford. A £10 surcharge is payable for locations 15-20 miles of GU4, Guildford.

1.7  All prices are subject to change, however, prices quoted at the time of the booking will be honoured.

1.8  The Hirer is responsible for ensuring the accuracy of information given to Surrey Enchanted Teepees and is to pass such information in sufficient time for Surrey Enchanted Teepees to perform the contract safely and without risk.  It is recommended all such information is confirmed 14 days prior to the event to avoid any unintended mistakes and unwanted disappointment.

1.9  The Hirer is responsible to ensure adequate floor space is available for the equipment to be set up and arranged.

1.10  Surrey Enchanted Teepees shall process all information in accordance with the Data Protection Act 1998.

1.11  Some produce used may contain traces of nuts or may have been made in a factory that handles nuts.  Please check all the ingredients carefully before use/application.

2. Set Up

2.1  Every effort will be made to ensure set up and collection is at the agreed time, however, delays may occur such as traffic congestion, road closures or accidents which prevent this from happening.  If an unexpected significant delay is encountered, Surrey Enchanted Teepees will attempt to contact the Hirer.  If such events prevent us from being able to fulfil our contractual obligations our liability shall be limited to a refund of any monies paid. No further compensation will be paid.

2.2  An adult must be present at the agreed time to allow Surrey Enchanted Teepees to set up your event.

2.3  The Hirer must ensure adequate space has been cleared before our arrival to set up your event. The Hirer will be responsible for any movement of furniture prior to set up.

2.4  The minimum space required for each tepee including mattress is 196cm x 90cm.  The space required for the sleepover trays are 56cm x 36cm.  Trays can be placed either in front of the bed or over the bed.

2.5  Emergency escape exits must not be blocked with our equipment.

2.6  The Hirer must notify Surrey Enchanted Teepees of any parking, access or permit restrictions at the time of booking. Surrey Enchanted Teepees reserve the right to refuse delivery if the venue or site is deemed unsuitable. If such cases arise, no refund will be given.

2.7  Surrey Enchanted Teepees will arrange a suitable time to dismantle and remove all equipment from your event location.

2.8  Sub hire of equipment belonging to Surrey Enchanted Teepees is not permitted.

2.9  Teepee hire is for indoor use only – this equipment is not to be used outside.

3. Cancellation Policy

3.1  Cancellation by the Hirer:

In the unfortunate event the booking has to be cancelled, the following policy will apply:

3.1.1  Bookings cancelled up to  14 days of the event will result in the loss of the deposit .

3.1.2  Bookings cancelled within 14 days of the event will result in no refund of any monies paid.

3.1.3  Refunds cannot be given for any personalised additional items that have been purchased.

3.1.4  If you require a change of dates, your booking may be changed up to 14 days prior to your original booking date and is subject to availability.   The original deposit will be transferred to the new booking date.

3.2 Cancellation by Surrey Enchanted Teepees:

3.2.1  Surrey Enchanted Teepees reserve the right to cancel your booking without notice at any time.

3.2.2  In the unfortunate event that Surrey Enchanted Teepees need to cancel your booking a full refund including monies paid for personalised additional items will be issued. 

3.2.3  Surrey Enchanted Teepees will not be liable to pay for any compensation to the Hirer or any other person for the loss, damage or expenditure resulting from cancellation of this booking either directly or indirectly.

3.2.4  If Surrey Enchanted Teepees need to cancel your booking due to inadequate space, parking restrictions or permissions at the location of the event, you will not receive any refund of monies paid. It is the person named on the booking forms responsibility to ensure that Surrey Enchanted Teepees have access and permission to set up at the location of the event.

3.2.5  Surrey Enchanted Teepees reserve the right to terminate the booking without notice if there is a breach of these conditions.

4. Safety

Surrey Enchanted Teepees are safe and fun but would like you to be aware of the following details:

4.1  It is the responsibility of the Hirer to ensure that the children are properly supervised at all times during the party. 

4.2  The Hirer is to ensure parents/guardians of all children at the event are aware that Surrey Enchanted Teepees are not responsible for the care and safety of their children during the period of hire.

4.3  It is the responsibility of the Hirer to ensure the safety and welfare of all guests during the event.

4.4  The equipment is intended for use by ages 6 and up.

4.5  All hire equipment must be kept away from open fires, naked flames and candles at all times.

4.6  Electronic equipment such as mobile phones and tablets are not to be left inside the tents overnight due to the possible risk of fire posed by the lithium batteries within such devices.

5. Liability

5.1  All equipment remains the property of Surrey Enchanted Teepees at all times.

5.2  Surrey Enchanted Teepees cannot be held responsible or liable for any damage of any kind or injury arising from the use of our hired equipment during the event or thereafter. It is the responsibility of the Hirer to ensure that all possible steps are taken to avoid injury or damage to your guests and our equipment.

5.3 Surrey Enchanted Teepee tents are not toys.

5.4  Smoking and pets are strictly prohibited within the vicinity of our equipment

5.5  Surrey Enchanted Teepees have suitable public liability insurance and take the utmost care to ensure the safety of all party guests at all times.

5.6  Surrey Enchanted Teepees will never disclose the Hirer’s personal information to any third party without prior agreement and permission.

5.7  Surrey Enchanted Teepees use high quality products and follow strict hygiene and cleaning routines.

5.8  All persons who use Surrey Enchanted Teepees equipment do so at their own risk and it is the party Hirer who is responsible/liable for any damage or injury occurring from or as a result of reckless or inappropriate use/misuse.

5.9  A damaged goods invoice will be issued to you in the event of any loss or damage to the equipment.

5.10  It is the responsibility of the Hirer to inform guests accordingly of the above terms and conditions

6. Allergies

6.1  Surrey Enchanted Teepees cannot be held responsible for any allergic reaction to either food (supplied and eaten during the party) or bedding.

6.2  It is the responsibility of the Hirer to inform Surrey Enchanted Teepees of any allergy condition that children attending the party may have.  If a child does have a particular allergy to bedding or a particular brand of washing powder then please advise us so we can discuss options with you.

7. Covid 19

7.1 Please contact Surrey Enchanted Teepees about your booking if changes to Govt policy and guidelines affect your booking.
